  4. Invite team members by entering their email address and they will then receive an activation link. 
  5. Assign each member a role, like Project Admin, Design Engineer, or Field Engineer. 
  6. Set permissions for each role to control the modules and files they can access. 
  7. Activate the modules that your project needs, like BIM 360 Docs, BIM 360 Coordinate and BIM 360 Build. 

Once you are done following these steps, your team will have a shared environment to work from. Everyone logs in and can see exactly what they are supposed to see, nothing more, nothing less.

A Request for Information (RFI) is like a formal question raised during the functioning of a project when something is being designed or when documentation is unclear. 

Without a proper system, RFIs pile up in email chains. When someone sends in a question, it gets under the rack and buried. People forget to follow up, and the site team is left making guesses. This often results in unwanted decisions, and this is where BIM 360 steps in to solve it. 

Here’s how RFI management operates in BIM 360: 

You create an RFI directly in the platform and brief the issue clearly. You can then assign it to the right person (usually the architect or engineer responsible for that segment on design). BIM 360 lets you decide on a due date, so the assignee knows when a response is expected. As the RFI moves through the review, everyone involved can observe this status in real time and mark its status (open, in review, answered, or closed). Once addressed, the response is stored with the original question so that it can be traced back whenever needed.

Issue Tracking and Clash Detection in BIM 360

This is where BIM 360 adds the most value on a construction project. It covers two connected but different workflows: finding clashes in the model before construction starts, and tracking problems on site after construction execution.

The engineer then assigns the clash to the responsible parties, who then resolve it and mark it as closed. 

On a commercial tower project in Mumbai, the MEP team highlighted 340 clashes during just the first week of coordination using BIM 360 Coordinate. However, they were able to resolve them before construction started and were able to save approximately six weeks of site rework. 

Issue Tracking with BIM 360 Build

When an issue is located on site, like a wrongly placed wall, a missing fitting, or a safety concern, someone highlights it as an issue in BIM 360 Build. They attach a photo, pin it to the drawing, assign it to the designated party and then set a deadline. Everyone on the project can witness the issue and its current status. Nothing gets lost in communication like a WhatsApp message or an informal conversation.

Together, clash detection and issue tracking give your project a transparent, documented record of every problem and how it was resolved. 

Document Management in BIM 360 

One of the most costly and common mistakes on a construction project is when someone develops an on-site building from an old drawing. BIM 360 Docs, which is now a part of Autodesk Docs, is designed to avoid all this confusion. 

Here’s a quick preview of how documents are managed in BIM 360: 

You upload all the drawings, specifications and other project documents directly into BIM 360 Docs, and when the revised drawing is uploaded, the system automatically saves the previous version and makes the latest version accessible to everyone. This is version control, and it happens automatically without any extra steps from your internal or external team. 

When you need to formally share your data/documents with another party (maybe a contractor, or any other stakeholder), you use the transmittal function. A transmittal is a formal record of what was shared, when and with whom. This is important because it creates accountability and protects all parties if there is a conflicting conversation about what information was available at a given point in time. 

For your team, the outcome will be simple: everyone is always working from the same drawing, and there is always going to be a clear record of every version that came before.

Field Management in BIM 360

BIM 360 Build includes a mobile app version that your on-site teams can use directly from their phones or tablets. This also bridges the gap between the office and the field, which is mostly a point of clash in most cases. 

Using the app, site engineers can pull up the recent drawings without getting in touch with the office. They can raise issues and add photos instantly. They can go through with their inspection checklists digitally, instead of filling out paper forms that might require some documentation later. They can also update their work progress by zone, so the project manager in the office can assess the on-site situation accurately. 

The main pro is that the office and the site are always viewing the same kind of information. When a drawing is updated in the office, the site team can view it immediately on the app. When a site engineer marks an issue, the project manager sees it immediately in the dashboard. There is no lag, no miscommunication, and no version mismatch between what was developed on paper and what is being built on site. 

Reporting and Project Health in BIM 360

You can also see how many issues are open, how many have been resolved and how many are pending. You can also track construction progress by zone, so you also know whether each part of the project is on schedule. 

These dashboards are updated in real time, which also means you do not need to wait for a weekly report to find out that something is slipping. You can spot a pattern, like a particular subcontractor constantly closing issues late and address it before it crosses the deadline. 

Common Mistakes Teams Make When Using BIM 360

Most teams that underuse BIM 360 are not using the wrong tool; they are using the right tool in the wrong way. Here are three mistakes that come up repeatedly and how to fix them. 

Mistake 1: Not installing user permissions correctly right from day one. When permissions are not aligned carefully from the outset, the wrong people can have access to these files, and this might cause miscommunication. Someone should spend time on fixing the permissions structure before you invite any team members. 

Mistake 2: Not using naming conventions for documentation. BIM 360 is incapable of organising your files for you if they are named inconsistently. A drawing named something like “rev3_FINAL.pdf” is not really searchable. Someone must fix this by agreeing on a naming convention before the first file is even uploaded, and it must be enforced from day one. 

Mistake 3: Using BIM 360 only for document storage and not for issue tracking. Many teams upload their drawings and stop there. This wastes most of the platform’s value. Teams can fix this by training their site team to use BIM 360 Build for issue tracking from the first week on site, and the habit forms quickly once they see how much faster it is than paper on WhatsApp.
